Procedures and Policies:
How do I book a tour?
Our registration procedure is simple: To book an America’s History tour or conference a deposit of $75 will hold your space. Final payment is due 30 days prior to the tour/event date. Deposits and payments can be made with a personal check, money order or credit card. We accept MASTER CARD and VISA.
What if I need to cancel?
Our cancellation policy is simple too: If you cancel your registration 30 days or more prior to the tour or conference,
your deposit will be refunded. If you must cancel, for any reason, less than 30 days prior to the tour or conference, all
deposits and payments will be refunded, except for a $50 per person administrative fee. No administrative fee will be
charged, if you choose to apply your payment to a future tour or conference. No-shows and cancellations within one
(1) day of the tour or conference are non-refundable.
An exception to this cancellation policy applies to tours where America’s History LLC provides hotel rooms and
dinners in the tour registration fee. For these tours, the cancelation policy is as follows: Cancellations made ninety
(90) days prior to the first day of the tour will receive a full refund. Cancellations made between eighty-nine (89) and
sixty (60) days prior to the first day of the tour will incur a 25% penalty fee. Cancellations made between fifty-nine (59)
and thirty (30) days prior to the first day of the tour will incur a 50% penalty fee. Cancelations made twenty-nine (29)
days prior to the first day of the tour will forfeit the full registration fee. America’s History LLC encourages tour
participants to avail themselves of travel insurance for cases of emergency cancelations. We do not endorse any
particular travel insurance company.
What happens if America’s History LLC needs to cancel a program?
America’s History LLC wants to complete every tour we plan to offer. If for any reason America’s History LLC cancels a tour you will receive your money back in full within seven (7) business days. America’s History LLC is responsible for notifying clients if the tour will be cancelled or postponed. We advise all our clients not to make airline reservations more than eight weeks prior to a tour or conference, unless they check with America’s History LLC, to prevent loss of the flight booking fees.
Tour Basics
- Tours go rain or shine
- Only animals providing assistance to patients w/ a disability are permitted on the tours.
- Tours depart on time and do not wait for late comers to board.
- Itineraries and tour leaders/historians are subject to changes.
- Smoking not permitted on buses or where prohibited by law.
- Call 1-855-687-4478 to determine the accessibility of specific tours for people with limited mobility so that we may make advanced accommodations, if possible.
- If you need any special dietary restrictions should call 1-855-687-4478 at least one (1) week prior to the tour or conference to arrange accommodation.
- Seats behind the driver & the first seat on the right front of the bus will be reserved for historians/tour guides. Additional seats near the front of the bus can be saved for those with special needs.
Definition of use, terms & agreement:
Meals
Meals to be provided on the tour are stipulated in the tour literature. Meals vary by trip so please ask questions if you are unsure. Soft drinks, tea or coffee are included at lunch and dinner. Alcoholic beverages are not included. You may purchase alcoholic drinks separately if you like. Free bottled water, soft drinks and snacks are generally provided during the tour. America’s History LLC will try to honor special meal requests (including vegetarian) but cannot guarantee such requests.
Rooms
Hotel rooms on many America’s History tours are the responsibility of the attendee. The specific situation for each event can be found in the material pertinent to each tour or conference. When America’s History LLC is responsible for providing the rooms the rates listed are based on double occupancy. Single rooms will be more expensive. See the tour literature for the rates on a specific trip. Changes in type of room due to cancellation by a roommate (a double changed to a single, a triple to a double, etc.) will result in the higher tour price for the remaining client(s).
Transportation
Transportation varies depending on the size of the group and the type of tour. Some areas cannot accommodate a large bus. There is no smoking on motor coaches or vans. Seats may be rotated daily on trips over two days in length.
Travelers Needing Special Assistance
Persons needing individual assistance for walking, dining, or other personal needs must be accompanied by an able companion and must notify America’s History LLC in writing at the time of booking. Certain trips and features are not wheelchair accessible. If you require a wheelchair, you must provide your own small collapsible wheelchair. Many times our group goes well off the regular stops to investigate historic locations and cannot guarantee wheelchair accessibility.
Luggage
Due to space limitations, only one normal sized piece of luggage, weighing up to approximately 50 pounds, may be brought per person, if the tour requires a change of hotel during the tour. This restriction does not apply if one hotel is used for the entire tour or conference. In addition, one small handbag and/or small flight bag may be personally carried. America’s History LLC is not responsible for loss or damage to your belongings and strongly recommends not traveling with expensive jewelry or other valuables.
Gratuities
America’s History LLC includes all tips to the bus driver, local guides, restaurant wait staff and hotel porters.
Not Included
America’s History LLC is not responsible for costs incurred by the client to get to the starting destination for the tour or conference, nor is America’s History LLC responsible for your return trip. Prices do not include air travel, country entry or departure fees, airport porter fees, visas, phones, valet, all items of a personal nature and beverages and food not on the regular menu. Tour price does not include general fees and taxes which are additional and listed separately beneath each tour’s price.
Passports and Visa Requirements
Travel to Canada, Costa Rica, Guatemala and Mexico requires a U.S. passport valid for 6 months after date of entry. Non U.S. citizens, please check passport and visa requirements. Sometimes a tour includes entering a U. S. Government facility; you may need a valid U. S. driver’s license or photo ID to enter the facility with the tour.
Tour participants will be responsible to provide a completed Emergency Contact form, provided at the time the tour starts by America’s History LLC, to the tour leader.

Management and Responsibilities
The responsibility of America’s History LLC is strictly limited; tour participant agrees that maximum liquidated damages shall not exceed the tour or conference price. America’s History LLC is responsible only in the capacity for making arrangements for the tour services offered, including hotels, sightseeing, transportation (whether by motor coach, boat, train, airplane or any other means), guides, porterage, and meals from various suppliers (collectively “Suppliers”). The itineraries shown are subject to revisions, including substitution of hotels, activities and routings. If a service is not provided, and America’s History LLC is unable to substitute a service of similar value, America’s History LLC’s liability shall not exceed the actual cost of the services not provided. America’s History LLC does not own or operate any of these Suppliers. The Suppliers are not agents, servants, employees or joint ventures of America’s History LLC, but are Independent Contractors providing travel services to America’s History LLC. America’s History LLC is not liable for any damage, including personal injury, accident, personal loss or other expense, from any cause, act or omission by Suppliers or third parties. Tour participant agrees that by utilizing the travel services of Suppliers, that tour participant will look to Suppliers for any damages of any kind. America’s History LLC is not responsible for any purchases made during the tour. America’s History LLC is not responsible for the costs of any medical treatment required during your tour, nor is America’s History LLC responsible for the quality, or lack thereof, of medical care you may receive while on your tour. America’s History LLC and/or its agents are not responsible for any damage, expense or inconvenience caused by late departures, change of schedule, strikes or other conditions. America’s History LLC is not liable for any wrongful, negligent, or unauthorized acts or omissions of any travel agent or travel agency.
Legal proceedings by or against America’s History LLC may be instituted only in a state or federal court within the Commonwealth of Virginia, and any claim involved in such proceedings shall be decided in accordance with the laws of the Commonwealth of Virginia. America’s History LLC reserves the right to decline to accept or retain any person as a member of a tour or registrant of a conference at any time before or during the actual operation of the tour or conference. America’s History LLC reserves the right to cancel any tour at any time. In computer or human billing error, America’s History LLC reserves the right to re-invoice with correct billing. Site Usage Agreement
America’s History LLC, maintains AmericasHistoryLLC.com (the Site) and all of the information, data, software, photographs, logos, graphs, videos, typefaces, graphics, music, sounds, images, illustrations, designs, icons, and other materials (collectively “Content”) for your information on tours and conferences sold by America’s History LLC. None of the Content shall be construed as an offer for the sale of any services, goods, or products of America’s History LLC or any other entity. All Content in this Site is for informational purposes only. By using this Site, you agree to these terms.
Use of Site
You may use or download Content displayed on this Site for non-commercial personal use. You may also use or download Content for promotion of America’s History LLC products. You may not use or download Content for any other commercial purpose without prior written permission from America’s History LLC. America’s History LLC has not reviewed all the sites linked to this Site and is not responsible for the content of any linked sites or any link contained in a site or any changes or updates to such sites (collectively “Linked Sites”). America’s History LLC does not endorse or make any representations regarding any Linked Sites. If you link to any Linked Sites, it is at your own risk. Your privacy is important to America’s History LLC. Your e-mail address and name, street address and telephone number are stored in our database. America’s History LLC will not sell, rent, trade, or give your name, e-mail address, street address or any other personal information to any other organization or individual unless you give America’s History LLC permission.
